Use the Rename Function in Skype to Organize Your Online English Students

Hello Online English Teachers!

Once you get your little online English school rolling, you’ll start to get many Skype contacts. I usually get about 2 to 5 “contact requests” each day, so I need to stay on top of them.

Whenever a potential students tries to exchange contact details, I do a few things to stay organized and on the ball. Right now, I have 659 contacts so it really pays (literally).

I’ll show you step-by-step:

  1. A student learns my Skype name (verycoolwinter). Let’s call the student Poindexter.
  2. After Poindexter has my Skype username, he will open up his Skype program and add verycoolwinter under the “Add Contact” button.
  3. Once he submits the request, Skype will send me a notification that Poindexter wants to exchange his contact details with me. Here I can choose to accept or decline.
  4. Before I accept his request, I will open up the chat box, but I won’t start chatting away just yet. Once the chat box is open, I will then accept him as my newest contact. Why do I do this? Because once I accept him, the “request box” disappears and he falls alphabetically into my huge list.
  5. Now that Poindexter is my newest contact, I can “rename” him by right clicking on his name. I will now rename him ? Poindexter 1-20-08. Why the question mark? Why the date? I do this because Skype will organize all of my contacts with a question mark in front of their names. So now I know who my prospective students are that initiated first contact. I also add the date for obvious reasons (I want to know when they first contacted me).
  6. After I rename Poindexter, I will start the chat (if the student hasn’t done so already). I like to start things off with this message that I just copy and paste from a Word document. Here’s what I say: Hello! Thanks for adding me as a Skype contact! Are you interested in becoming my new student? If so, please sign-up for a free level-check test of your English speaking abilities: www.Test.EnglishKitty.com or just a simple conversation: www.Free-Lesson.EnglishKitty.com Just visit the website and sign-up from the web-form, and I’ll contact you by email. Thanks!
  7. After this, I usually chat with the student for a bit, and get them to sign-up for a free test or a conversation. I’ll try to do the session right there on the spot, but most students usually want to wait a day or so before actually talking with me via a mic. The ones that meet right away usually buy a package.
  8. So now let’s say Poindexter buys a lesson or a package deal of lessons, I will then rename him again to * A Student: Poindexter. I use the asterix because Skype will put these folks at the very very top of my list, so I can easily find my paying students.
  9. Now once Poindexter uses up his package deal and then decides not to take any more for the time being, I will rename him again to * B Student: Poindexter because I want to keep an eye on my old paying students because I will try to sell them a package deal later on (usually at a special price).

So that’s it! That’s how I use Skype to organize my prospective, current, and old students. Good luck and happy organizing!

Get Your Prospective Online English Students to Say YES, YES, YES During the Trial Lesson

What’s the best way to conduct your trial lesson that you’ll give to all prospective Skype students who want to learn English online?

This idea might be difficult for many teachers to swallow. Yes, you are a teacher, but you are also a sales person. You will wear many hats, and your main objectives are to make money and help people. You can’t help these students if they don’t want to give you money. Do the math. Any way, here is an example of how a trial lesson might go:

Teacher

Hello, my name is John, and you’re (Yuka), yes?

Student

Yes.

Teacher

Well yes, it’s fantastic to meet you!

Student

It’s nice to meet you too.

Teacher

So, you want to improve your English, yes?

Student

Yes.

Teacher

Yes, that’s great. Yeah now, okay, so which do you think you need to study more: vocabulary, grammar, pronunciation, listening or basic conversations?

Student

I’d like to practice vocabulary.

Teacher

Yes. Okay. That sounds like a good idea. So why do you want to study more English with me?

Student

My vocabulary is very weak.

Teacher

Yes, I understand. Well I’ve prepared a nice vocabulary lesson for you. I’ll give you 3 new words. Does that sound okay? Yeah?

Student

Yes.

Teacher

(Now at this point, you will give the student the 3 words.)

Student

Thanks. I understand these words now.

Teacher

Do you have any questions for me? Oh yes, how I love easy questions.

Student

(Then the student will ask you some questions. If they start asking questions about your package deals (click here to see mine), then that means they will probably buy some, but if they only ask personal questions about you and your country, then you need to bring the conversation back to your package deals.)

Teacher

So you have seen my website? Yes?

Student

Yes.

Teacher

Check out this link. Okay? (At this point you will send them a link via the Skype chat box) You’re looking at the page now, yes? Okay, so which of these packages will work the best for you?

The idea is that the more they hear the word “yes” from your mouth and especially their’s, they are more apt to say yes to whatever it is you’re selling, especially if you want them to buy a big package of lessons that will bring you $500 or so!!!

Hopefully they will say yes and buy something. But if they tell you that they need more time or they are not sure, then you need to know what to say:

You need to give them a “sense of urgency.”

If they seem unsure, tell them you will sell them a package of 5 lessons but if they buy it within 24 hours, you’ll give them a 6th one for free. So it’s buy 5 get one free.

Now if that doesn’t spark their interest, tell them (don’t ask them) that you want to have another free 15 minute lesson tomorrow about vocabulary or whatever. Say, “Okay, I understand if you’re not totally sure, so let’s have another free 15 (or 30) minute lesson tomorrow on some vocabulary about (and try to relate the subject of the vocab to their job, hobbies or interests). What time is good for you?”

Don’t spend too much time with the sales pressure (just give them a little bit). So after you’ve said everything you need to, quickly end the lesson by saying, “Okay now, do you have any last questions before we go? Are we all finished?” If they say, yes, then say your goodbyes, hang-up, and hope for the best.

Stay positive! The universe likes it when you’re positive, and it will reward you accordingly.

When Should You Start Hiring Teachers for Your Online English School?

Compared to some other online English schools, my operation is quite small. I can handle all of my students. I work very hard. I work everyday, so I can run every aspect of my online English school business. When it comes to bringing on other teachers to help teach at EnglishKitty.com, I just don’t feel it’s time.

Or is it?

I’m sure this happens to a lot of businesses that start out as a “one-man operation.” At what point does the business person bring employees into the fold? If not employees, what about contracting out other aspects of the business to give the owner more time to find more business?

Here’s what I see as a potential problem with online English schools: if I hire a teacher, I will have to pay this person’s salary whether or not money comes in. Paying an employee’s salary is too expensive. Also, can I trust this teacher?

What happens when my teacher/employee tells the student not to buy lessons from EnglishKitty.com but directly from the teacher? This could really be a problem for me, especially if the teacher is in another part of the world (thus harder to monitor and control).

This could also be a problem if the student pays for some lessons, and then I contract out the work to another teacher.

Let’s say a student pays me $100 for some lessons, and then I have a contractor teach this student. I would only keep 10 to 20 percent, but what happens when the student wants to buy more lessons? Do they just skip paying me and start paying the teacher, thus I don’t make 10 to 20 percent anymore?

These are difficult questions. I guess it comes down to trust and faith in my contractors. It just comes down to whether or not they will “steal” my students. I guess the safe bet would be to hire teachers who were my friends or family members.

In my case, my friends and family don’t want to become online English teachers! What to do?

I think I have a solution on how I can make money by doing business with other online English teachers. We can all benefit if we cooperate and invest together. United we stand, divided we fall. I don’t want to reveal my idea yet. I want to get the website together, but trust me, I think it has potential to help us all.

Using “The Wonderful Paradox” for Your Online English School

Hello Online English Teachers!

The Wonderful Paradox says, “I have more fun and enjoy more financial success when I stop trying to get what I want and start helping others get what they want.”

I learned this quote from the following videos, and I find it fascinating. I totally agree with it. There is something in the universe that helps us grow when we help others. Karma! So how can we apply this to our online English school?

I’m not sure, but I have some possible ideas we can try (I will experiment with them in the days to come):

  • Offer students the ability to negotiate a better price for themselves. For example, if you are selling one hour conversations for 30 bucks, then perhaps you should say, “$30.00/hour or offer another price. What are you willing to pay?”
  • Offer your free trial lesson without a set time-limit. For example: “Free trial lesson! Talk as long as you want if I have the time! One-time only! Talk for 5 minutes or 5 hours!” If this sounds too scary because you think it might take up too much time, then sell the trial lesson for 1 or 2 dollars. I think the latter is the best because my time is limited so it’s conceivable I’d have fewer trial lessons. Also this will show you that the student is willing to pay something online. They’ve just jumped a huge hurdle. But it’s possible that you’ll scare away potential paying customers too who want to meet you before paying a dime. It’s something that needs to be tested.
  • Offer your student a free lesson after they’ve used up their package of lessons. What a nice surprise!
  • Tell your paying students that you would like to give a free 1 hour lesson to them and one or two of their friends at the same time. You can do conference calls with Skype, and thus create group lessons. This is one area of the online English teaching biz that I’ve never really tried. I should get a move on! I believe Skype allows up to 9 people to talk at the same time.
  • Visit English forums and help people with their questions. Try EnglishBaby.com or EnglishForums.com or Forum.Skype.com to get you started. I’ve found paying students through this route!!!
  • Create many video English lessons on YouTube or other video sites. Here are my YouTube videos: click here.

How Much Should I Charge For My Online English Lessons?

The title of this post is a tough question. Why? There are many things to consider when you are pricing your online English lessons.

Are you only conducting conversations (thus you don’t have to prepare much)? Are you teaching varying levels of grammar, vocabulary, and how much time did you put into making the lessons? How long are your sessions? Do you use a textbook? Do you give homework and grade it outside of your scheduled English lessons? How much experience and certification do you have?  Are you marketing to only one specific country or to the world?

It makes sense that the more time you put into the preparation, the more you should charge. So how much is too much? How much is too little? These two questions are darn near impossible to answer, especially when you teach on a global scale!

Some countries will think 20 bucks an hour is outrageous! How dare you teach English online for that much!

But then some countries will feel guilty because they are taking advantage of your cheap prices. I actually have a student from a well-to-do country in Europe, and at one point she told me she felt guilty about paying so little for a package she had bought (she paid 500 dollars). She still bought it, but how many prospective students from her country saw my prices and thought, “Wow! Those are too cheap; there must be something wrong. Those cheap prices are too good to be true.”

This is a balancing act! You want to find the most amount of students at the highest price possible.

If you check out the pricing page on my website: click here, you’ll notice that I sell my lessons based on a “point system.” 2 points will buy a student one conversation, and 2.5 points will buy one “Power Lesson” which is everything else (vocabulary, American slang, grammar, listening, pronunciation, or a specially designed lesson). The more points they buy at once, the better deal they get.

Here’s my theory (keep in mind that it’s not proven yet): I believe 20 to 25 dollars for 50 minutes is a good price to attract most countries, but for those countries who are used to paying a butt-load (like 40 to 60 dollars an hour), I’ve done something kind of interesting.

I have priced my original amount between 40 to 50 dollars per lesson, but then I heavily discounted it (by 50% or more). I did this so countries like Japan would see the original price and (perhaps subconsciously) attach value to it because the price is “high and respectable.”

Now when they see the discount (for a limited time mind you), they will feel like they are getting a bargain (they like to go bargain shopping…or as they say, I go to shopping.). Also, since the prices are for a limited time, and they might go up soon, this puts a “sense of urgency” into their minds: “I must buy it now if I want that great deal. It will double in price soon!”

I just changed all of these prices yesterday, so I don’t know if it will work or not. I’m constantly going to experiment with prices every two or three weeks to find the “sweet spot.” I have some other ideas on this whole crazy experimentation of price-setting, so I will keep you informed. How To Use Flickr To Find Online English Students Who Will Pay You Money

Flickr is another interesting way to get yourself out there and into the Internet world. Flickr can be either free or paid for yearly. I personally have a paid membership because I enjoy taking pics, but one doesn’t have to go the paid route to advertise yourself

Just get a free membership, and then add some screenshots of your website, YouTube page, or whatever you think is relevant. Here are some of my screenshots.

To do a screenshot, you need to press “Ctrl + C + Prnt Scrn” and then this will copy it to your clipboard. After you do that, paste it (Ctrl + V) into a photo editing program (like your MS Paint which you can usually find by going to Start > Accessories > Paint).

After you upload these screenshots to Flicker, add many tags, write a nice description (use a lot of the keywords in your description as well), and you’re done. Also, feel free to use these tags (copy and paste):

Okay, your Flickr site is and up and running and you have a few screenshots and maybe some pics of your mug as well. Now it’s time to leave some comments on other people’s photos.

But who do you comment on? Answer = start with the people who have money and are willing to pay for English lessons. It’s been my experience that Japanese make good customers. They make great, willing students as well!

You can do a people search with any Japanese name, and the results will give you profiles of members with that name.


Since my girlfriend is named Yuka, we’ll use her name. You’ll notice that we can filter the searches to view “by screen name, member since, and # of photos.” Chose the “# of photos” because this tells us that this person (one with lots of photos) is an active member, and they have probably paid for a membership, so they are comfortable in regard to buying something on the Internet (many Japanese are nervous about using their credit cards online).

So start by clicking a name, choose a photo from their collection, then write a nice comment about the photo, and then leave your name and photo stream (or even your web address). For example:

I love this photo! Great job! Check out my pics:
www.flickr.com/photos/verycoolwinter
Or visit my website: www.Englishkitty.com

Do this with many different Japanese names (first names and family names). Here are some popular family names to get you started: List of most common surnames and here’s another one to help you out: List of Japanese names.

Make sure to add them to your list of contacts because this might make it easier to contact them because Flickr has an emailing system. Remember not to spam.

I know this whole Flickr concept borders on spam, but as long as you’re offering a direct critique or praise about a member’s photo, it’s not spam in my opinion, but people have subjective notions of spam, so please be respectful.

Make It Obvious That You Teach English Online For $$$ Not For Free

One thing you will learn about operating your own online English school is that there’s a lot of trial and error. You’ll constantly make tweaks to your website. You’ll change your video descriptions and tags on YouTube many times. You’ll change the format of your free trial lesson (which you should offer). Your pricing structure will evolve as well. And many other things…

One change that I just implemented today had to do with the top title banner of my website, EnglishKitty.com. I made it painfully obvious that I teach English online for money. Why did I do this, and why am I telling you, an online English teacher?

Because I’ve met sooooo many people from around the world (especially lower level English students) who thought I was the greatest guy in the world because I was offering my time and energy to teach them English for free…as often as they wanted.

They thought I was a volunteer!

As much as I would like to help people in this way, reality dictates that I make money to survive. Money is what puts sushi on my plate. So when I told them that my lessons are not free (those after the trial lesson), they seem mystified that I would want to charge them something.

So to weed out those students who think I’m a free-free-free English teacher, I changed my top title banner that is seen on every page of my website: I added pictures of credit cards that PayPal accepts. This is the big one.

If students see pictures of credit cards and they still think I’m Saint English Teacher, wow.

I also added the sentence, “Your 15 minute trial lesson is free…50 minute lessons are $16.99 to $25.00 each.” Again, this is quite obvious in my opinion. So any future students who come across my site should understand that I charge money for my English lessons and English conversations.

Kind of off topic, I made some other changes like saying that I conduct lessons with a microphone and Skype, MSN, Yahoo, or Google. I also added a little Japanese flag/link in the upper left-hand corner. I’m going to have my Japanese girlfriend make a video in which she will talk about me, my website, and my lessons. Of course she will speak in Japanese. This new link to the new page for Japanese people should help. They tend to trust other Japanese people more, so if they can see and hear my girlfriend, this might help my online English school business.

Back to the heart of this blog post, to sum it up, add pictures of credit cards to every page of your site. You should also highlight the price range and the free trial lesson on every page as well. You will thank me because the students who only want a free English speaking friend won’t bother you (at least that is the theory; I’ll keep you posted as to whether it works or not).

Keep in mind that many people are spoiled by the free “static” information that’s on the Internet, so when they meet a person (teacher) who is offering English lessons (live and in person), they just assume that the “dynamic” information will be free as well. So remember this and you should save a lot of time.

Spread Your English Video Lessons Over 16 Video Networks In One Shot

Hello Online English Teachers!

For the past 9 months I have uploaded videos to YouTube. I have over a hundred different videos ranging from English lessons to introductions to explanations about my website. YouTube has been very good to me. I’ve met so many students who take the time to contact me, that I’ve lost count. Every day I get emails or Skype chats or calls from people who just watched some of my English lesson videos.

If you don’t know by now, YouTube is an über-powerful way to market you and your online English school. And best of all, it’s free, baby!

Just the other day I was chatting on Skype with my brother (who is a computer programmer), and we were kind of brainstorming ideas about various things, and I told him that he should write a program that would upload a video to other “video networks” at the same time.

You know, it can take some time and energy to upload one video, but to upload the same video to a multitude of other networks would not be cost-effective. This kind of tedious grunt work is a no-no.

So he wondered if someone had already written the program (this is a programmer’s first thought), so I Googled around and boy-oh-boy, did I find one. It’s pretty sweet, and the name of the site is Hey!Spread and they say, “Spread your videos over the best video networks in one shot.” So that’s what I did.

Spread’em!

I signed up at all of these sites (and created a new YouTube account: SkypeEnglishTeacher) and started “spreading” my videos across the 16 video networks. They offer you two ways to spread your videos.

1) You can submit the web address of a previously uploaded video.
2) You can directly upload the video from your computer.

So I did #1 with some of my previously published videos on my YouTube account, englishkitty. This way seems to be the fastest way to spread because the video on YouTube is already compressed, so as a result, I could see the results on the other networks in about 5 minutes.

When I did #2, it took more time, but it worked the same as #1.

I did however have some problems. I don’t know why, but I couldn’t upload some of my videos in this “spreading fashion” to Yahoo Video, Google Video, Revver, Vimeo, and Veoh. Sometimes it would work, sometimes it wouldn’t.

But overall I was impressed, and I am happy to be able to upload my videos to multiple video networks. The more chances I give potential students to see me, the bigger and better my online English school becomes.

I’m doing this so I will make more money online. So who out there is going to be my competition? Who is going to do what I’m doing by spreading English video lessons in the hope of attracting more paying students (and helping people)?
